In industries like manufacturing and automotive, sales orders often arrive via free-form emails with attachments in PDFs or Excel files. The manual entry of these orders into Infor M3 leads to delays, inaccuracies, and inefficiencies that ripple into customer satisfaction issues.

Our team built an end-to-end solution using Infor RPA, IDP, and Gen AI to automate sales order processing from unstructured emails.

How it works:

• Email ingestion: A Velocity Suite bot monitors a dedicated inbox and triggers the process upon new email arrival.
• Data extraction:
  • IDP extracts structured data from attachments
  • Gen AI parses the email body to interpret order details and fill in gaps intelligently
• Validation & creation:
  • RPA queries M3 to validate customer and item details
  • Sales orders are automatically created in M3 through OIS100/OIS101
• Communication: Gen AI crafts and sends a natural-language confirmation email to the customer.

The outcome:

The challenge:
Accounts Payable (AP) teams deal with a high volume of invoices in varying formats—PDFs, scanned images, Excel files, and email text. Manually extracting data, matching it with POs and goods receipts, and entering it into Infor M3 slows the invoice-to-pay cycle and introduces compliance risks.

We developed a fully automated AP solution using Infor RPA, IDP, and Gen AI, tailored to work across diverse invoice formats and seamlessly integrated with Infor M3.

How it works:

• Invoice ingestion:
  • Invoices are captured from an email inbox or file repository.
• Data extraction & enrichment:
  • IDP extracts key details like vendor name, PO number, and line items.
  • Gen AI handles handwritten notes, low-quality scans, and missing data fields.
• Validation & posting:
  • RPA cross-checks invoice data with M3 records (e.g., PPS200, MWS410).
  • Invoices are posted directly into M3 (APS100), or flagged for exceptions.
• Exception handling:
  • Gen AI suggests remediation steps or drafts vendor communication emails.
